Currently Room Finder just fails to show any rooms at all when the event is an existing recurring event.
When scheduling a room for recurring meetings, prior to actually sending out the appointment, have Outlook warn that the room isn't available for one or more of the dates in the series, rather than it's current behavior. Currently, the appointment gets sent and then a room-rejected email arrives that cancels EVERY requested instance of that room.
1) Prior to sending, Outlook could do a busy search and prompt the sender that the room has a conflict "on the following dates..."
2) Give the person the option of selecting a different room for just those dates, or for the entire schedule.
3) Outlook should reject ONLY the dates that have a conflict, not the entire series. Outlook should also give the option of finding a different room for those dates.
4) Recipients of the appointments should NOT be pinged for every proposed new date. Let the rooms get fully resolved and booked before pinging the recipients, OR make the changed room notifications invisible to the recipients. Recipients typically don't care what room a future meeting is scheduled to be in. They will look for it the day of the meeting, or the moment of the meeting. Switching rooms on a recurring meeting can disrupt patterns and habits, but as long as each instance's appointment is correct, they should be fine. Receiving multiple notifications while a one-off room for a meeting several weeks down the road is being sought is an irritant.
