  1. Email Signature Sync across devices

It would be great if Outlook sync'd your email signature across multiple devices so that you only have to set or update it once.

  2. Provide ability to change the color of the reading pane or set background and text color for the reading pane

The dark theme is great in Outlook, however the inability to change the background and text color of the reading pane make it almost painful.

It would be fantastic to have the ability to configure the default CSS for the reading pain and text/html therein.

  3. Provide a feature to Customize Account Names for email accounts configured in Microsoft Outlook 2016

Provide a feature to Customize Account Names for email accounts configured in Microsoft Outlook 2016 maintaining case as well as re-arrange their order in navigation pane. similar to Windows 10 Mail app. Also It would be helpful for those who are visual to have the option to change the background color of each mailbox, (Inbox, Sent, and Trash), to avoid confusion when quickly navigating between them.

  4. Include Additional theme options in order to provide a more pleasing color scheme

The provided color schemes make it very difficult to distinguish folders

  5. Improve the "Manage rules and alerts" or there should be a rule like "Move after I read" the emails in Outlook 2016

The rules and alerts are powerful and very important in properly organizing Microsoft Outlook inbox. However it has been observed:

The User Interface is old. The dialog cannot be re-sized and managing many rules becomes tedious.

All the rules are not compatible between web version and desktop client even when the features are available on both. While not having some sounds or special events on the web version can be understandable, not being able to categorize the emails is annoying. It would be nice to have some "cleanup features" to review the rules. Also Creation of rules to automatic categorization…

  6. Provide an option to schedule Out of Office replies for multiple holidays / events in advance

Currently I can only schedule my out of office for one occasion. Allow an option to pre-schedule multiple occasions. For example On July 3rd, when I set it up for 4th of July, allow me to schedule it for the Labor Day, Columbus Day, Thanks Giving, Christmas, etc. That way I can set them up when I am not very busy. Also, provide an option to activate / deactivate them. We have 10 or so holidays, so allow a few more and provide 15+ schedule alternatives. Note: I think the common holidays should be default for everybody.

  7. Better Categories management or Color categorize occurrence of a repeating meeting in Microsoft Outlook 2016

Categories are an excellent, more modern, and flexible alternative to folders. However, managing and assigning categories in Outlook (both client and web) for POP, IMAP as well as Exchange.

For ex.: Right now we are unable to condense long email conversations unless we organize by date. A feature where you can tag or categorize an entire conversation in the condensed format would be hugely helpful.

Often I need to be able to find all of the meetings for a specific committee or board but doesn't seem to be an option – a few more colors would also be good. Hereby…

  8. My idea is when Outlook updates, stop resetting every (or most) defaults. It is a waste of time having to reset everything

Very simple - stop updates from resetting defaults all (or most) of the time. Every time, I have to go through all of my business computers to reset them the way I do business rather than the way that Microsoft wants me to do business.

  9. The ribbion tool bar

The ribbon tool bar is too large and taking up too much of my screen. Also the icons on the ribbon bar are too large. The colour range does not have enough choice. The older ribbon bar was much better on office 2010 and has gone south in my opinion. I hate the new ribbon bar and the feel of the system. The system is not an improvement over office 2010

  10. Sync text messages with Outlook

Please bring back the feature of setting up and sync SMS messages with Outlook. It would be nice to have Outlook be the hub of all communication.

  11. Out Of Office in Outlook 2016

If several accounts (e-mail) are in Outlook, it would be great if you could Install an Out of Office reply (different) for EACH of the accounts (e-mail addresses). It also refers to inclusion of POP, IMAP and Exchange based accounts. We can further enhance this feature to include Out Of Office for group emails or emails containing distribution lists.

  12. Customize keyboard shortcuts including keyboard shortcuts to sort as well as move emails by date and subject in Microsoft Outlook 2016

Other Office applications allow you to customize keyboard shortcuts. So should Outlook 2016. Also provide shortcut keys to sort emails as well as move emails by date and subject. I keep using sorting by date and sort by subject frequently to read the mail history. If outlook can support shortcut keys to do sorting, it will save lots of my efforts.
In the Reminders window, change the shortcut for snooze to ‘O’ instead of ‘S’. It will be more intuitive then a shortcut that means “Save” everything else. Also it will be much safer, because the letter S, on the…

  13. Resize Outlook Ribbon Icons as well as allow ribbon color to be customized for Outlook 2016

The purpose of Quick Steps is to improve work efficiency by enabling users to accomplish routine and frequent functions with just ONE click. Previous versions of Outlook allowed users to see within one pane, as many as 12 icons/actions. Also adding the option or feature to enable users to customize the ribbon in Microsoft Outlook 2016 as well for Outlook in Office 365 modules. Also enable users to change colors of the ribbons and icons on the ribbons. Since the list of commands is super long and not usually in an alphabetical order, provision of an option or feature that…

  14. Please bring back the classic theme and more colors in Outlook 2016

Please bring back the classic themes for Office 2016 like we had in Outlook 2003 and 2007. I

I use the classic theme in Windows 7 and I would prefer to use that, than the current 4 themes currently provided in Office 2016.

Why do I want this feature to come back? The classic theme is much easier on my eyes than the themes offered currently in Office 2016.

Also, you must have more options to add color in outlook! I loved the dashboard of office 2007 and just upgraded to 2016 and it seems so sterile!

    Thanks,
    Chris

  15. Account OAuth2 signin

Outlook 2016 should allow users to authenticate using OAuth2. This is the only supported option for connecting a Gmail account, and it's a lot more secure than many other authentication solutions. It would make life a lot easier, because many webmail services utilise OAuth.

  16. Delete e-mail if there is no valid e-mail address or valid domain or the true sender instead of the name displayed in the “from” field

Would like the Outlook team to alter the behavior of “block sender” to block the true sender instead of the name displayed in the “from” field. One example is a message with an actual sender of xyz@domain1.com that shows as abc@domain2.com in the from field. When adding the sender to the block list, the REAL sender is not blocked by Outlook in the current design. Really cool would be logic that blocks both the actual sender and the address in the from field, or a prompt for each prior to adding to blocked senders

Also, there should be an option…

  17. Desktop Notification settings for different accounts in Microsoft Outlook 2016

Option to set different desktop toast notification settings for different accounts configured in Microsoft Outlook 2016 option to either receive desktop notifications for email sent to specific email account. Currently we can't set different settings for different accounts. Also extending them for Calendar items would be an added benefit. Being able to move the alert box to the upper left corner of my right monitor kept the alert notification out of the way but very noticeable. I am running Windows 10 and Outlook 2016. Also an option to have Quick response to Notifications (e.g. When receiving a mail, you can…

  19. Provide an option of displaying the number of Unread Messages against Main Folder if Folder structure is collapsed in Microsoft Outlook 2016

Provide an option of displaying the number of Unread Messages against Main Folder if Folder structure is collapsed in Microsoft Outlook 2016 to make it easy to check specific folders only for Unread emails rather than going through all the folders. Also provide an option to highlight folders that have emails in their subfolders as we end up missing emails stored in those folders after they are processed and delivered based on rule or criteria.

  20. Outlook should remember its windows sizes and positions

When I open a new Windows inside Outlook for e.g. the Calendar or Tasks, pick a position for it and resize it according to my needs, it should be saved, so once those windows are closed and then reopened, I don't need to do this again.

An older Office Version had this feature, but it seems to have been removed.

Some details on this can be found here, please read the last statement from Jennifer from Microsoft.
