  1. Online & Offline Folder building Option in Outlook 2016

    It would be great if when you build folders you could make the decision to keep them online or take them off line. I believe this would speed up synchronizing, but they would still be accessible and off the servers.

  2. Refresh option for inbox storage.

    Once my mailbox gets full I can move messages into archive folders. However, I am still blocked from sending or receiving because Outlook still thinks my inbox is full.
    A manual refresh option would be nice

  4. Parent converstaions

    E.g. Three customers email me with the same issue:

    Email 1 Subject: bsod crash
    Email 2 Subject: blue screen crash
    Email 3 Subject: PC freeze with blue screen

    I want to be able to manually create a "parent conversation" called BSOD and attach the three conversations (and any others) to it. In my conversation-grouped inbox they will appear alongside other collapsed conversations (with a little triangle on the left which can be expanded to view the sub-conversations). The benefits and possibilities are many:


    • Outlook could have a shortcut to CC/BCC everyone in the parent conversation so I can easily notify…

  5. Create an acroynm index reference link

    Corporations create acronyms ad nauseam. I've seen people create their own that only they can understand. Then they gain steam. Some companies are good enough to have a glossary on their confluence or other such intranet page, but let's be honest, they're rarely referenced.

    As soon as Outlook sees a string of capital letters, e.g. AWOL, it should have a certain behavior that accesses commonly used acronyms by this email-writer and even allows them to create their own. I think of this similar to the corporate email list that people can access when they type in commonly used email names…

  6. Focused Folders

    The Focused Inbox is great; We today apply a lot of Email rules and keep our Inbox clean, moving email into folders. Most times there a lot of important emails lying unread in our folders and would love to have more rules to be applied so that :
    1. They go into separate folders
    2. For specific scenarios, and customizable settings, they would go into the 'Focused' Section of the folder.

    The Focus Folder rules would be user provided and not automated like we have for the focused Inbox

  7. Provide a feature of Daily summary e-mail (digest) in Microsoft Outlook 2016

    We would like to refrain from checking our work e-mails when one is not in office (e.g. on my mobile phone) - and its apparently not good for ones mental health to be always "on" - but at the same time have an idea of whats going on, e.g. if I receive e-mails in the weekend or during a vacation. It would be beneficial if we somehow get Microsoft Outlook 2016 to prepare a summary e-mail over incoming e-mails for a given period and send to private e-mail address? An add-in maybe?

  8. In the favourites list, it would be great to have the option to set up a set of "folder jumps"

    By clicking on a "folder jump" link, Outlook would automatically scroll the folders list to that folder (and series of subfolders). An example might be in the favourites list you might have have a series of key customers set as 'favourites' in the 'jump list', by clicking on Contoso Ltd it would scroll the folder view down to the parent Contoso folder you had previously selected so you could then quickly get to the subfolders like "Sales", "Marketing", "Planning" etc.

  10. Allow removal of all cloud links when emailing

    Allow a GPO removing all cloud links when emailing by default. When someone in our Org is emailing an person with no access to our internal on prem sharepoint, they should not get a "edit link" that doesn't work anyway. Allow us to turn this off.

  11. Smart sort to the names suggestion drop-down

    Once I select a name from the suggestion drop-down and start typing the next name (in the To or CC fields), the drop-down still maintains the same order as before. It would be nice if the already selected name is moved to the bottom of the list as the possibility of choosing the same name again is very low.

  12. Rule identification from clustered mail movement

    When a user is moving set of emails from their Inbox into one of the PST folders or any other folder, the Rule engine should automatically pick up the commonality between those emails and suggest a 1-click-Rule to the user for future usage. This will essentially cut down a lot of time configuring rules and instead the system start becoming smarter and auto suggests rules to be approved by users.

  14. A clearer way to create auto-response in Outlook 2016

    Why do we have to pass through this over-super-complex process of creating a rule, pick specific cases and import a pre-made e-mail with not much of tutorial nor explanation in order to simply make an automatic response for when you go on holiday ?

    You should just create a tab or a sub tab but at least something very visible and easily reachable to create and edit automatic emails of response.

    Provide an option to dock or pin expanded menus into email pane in Microsoft Outlook 2016 such as "basic test" to the right side of an email draft. Word and Excel do this. The Outlook experience is such that we have to go to the menu bar and click the expand menu button each time I want to do advanced text formatting. We would like to be able to leave it open or float it to the side until we close/send the email.

    Provide a feature to track unread emails and unattended events in Microsoft Outlook 2016 to ensure they are catered to. It could be similar to generating a unique number(some kind of ticket) to ensure when anyone clicks on or accesses the email, it can be tracked using the unique number to someone respond to the email. It would also help in getting all the unwanted emails tackled and dealt accordingly.

  17. Warn on apparent intent to change recipient list but recipient list not changed

    Outlook added a useful feature a while ago that warns the user when Outlook detects that the user might have intended to attach a file but failed to do so.

    Could a similar feature be added when the sender appears to intend to add (or remove) recipients but the recipient list hasn’t been changed? This happens A LOT.

    Provide an option to make the Save button change color to notify the action has been performed in Microsoft Outlook 2016. After saving a draft mail, the saved button on the top left is not grayed out. I think it is a good idea for the save button to grayed out and indicate it was saved successfully. And when I change the content of the mail, then it should light up again.

  19. Check that the date in the email actually exists.

    Many times people put the day of the week and the date together in their email but they get them wrong. For example, Thursday, the 30th of June doesn't exist in either 2017 or 2018. Could you pop a window that the date entered doesn't make sense. Or maybe even tell the user that the next June 30 on a Thursday is 2021 and it would be helpful to add the year on your email for clarity sake :-)

  20. Easier people search in draft emails

    Sometimes you are looking for a persons name (e.g. exact spelling) for an email. Most people use the to or cc line to autocomplete but that has the problem that it does not match the intent and sometimes the email gets accidentally sent to them as well. There should be something analogous to @name that lets you refer to the person without adding them to the to line.
